Corporate Meetings: Start off Q3 on the right foot!

Corporate meetings allow companies to gather to set objectives, report department updates, praise accomplishments and confront challenges. However, employees may view corporate meetings as an interruption to their work rather than an extension of it. To make meetings effective and energizing, review the following tips:

Start meetings on time

Late arrivals can feel disrespectful and discouraging. Therefore, it’s important to book corporate meetings in advance, send a reminder the day (or two!) before and respect the start time to show that every employee’s time is valuable.

 

Distribute an agenda

Agendas create direction and expectations for the meeting. By prioritizing tasks, meetings can boost efficiency and help both presenters and listeners focus. The agenda will include topics and key points for the meeting, to which people can add speaking or meeting notes.

 

Recognize achievements

The biggest motivator is not money, but personal recognition. While money may help with recruitment and retention, thoughtful feedback serves as a long-term incentive. Make corporate meetings the platform for honoring departments and individuals. A McKinsey report found that “praise from immediate managers, leadership attention, and a chance to lead projects or task forces” can serve as better motivators than cash bonuses, increased base pay, and stock options. Incorporate these types of incentives whenever possible, but especially in environments like this.

 

Keep meetings engaging

Ask for participation, present information in different formats (presentations, speeches, videos, etc.), and encourage questions. Utilize the fact that people are together in one room, not across an office space behind computer screens. Creative spaces and inviting dialogue can help achieve this dynamic.

 

Consider peak productivity times

A University of California, Irvine, study discovered that productivity rises around 11 a.m. and peaks between 2-3 p.m. If you think your workplace reflects this finding, schedule meetings before this rise in concentration. Additionally, keep track of when employees seem most receptive to meetings by taking quick, personal notes of their energy.  Seasons, days of the weeks, and time of day may play a big factor in enthusiasm.
